General Administrative Responsibilities:

  • Calendar Management - scheduling appointments/meetings and calendar maintenance; proactive at managing meetings when conflicting priorities arise.
  • Expense Management - manage expense reports, filing and document/receipt retention
  • Travel Arrangements
  • Travel - assistance with VISA /Passport as needed
  • Greeting / Escorting Visitors on-campus
  • Assisting new employees as needed
  • New contracts & Purchase Requests; Approvals
  • Notary
  • Manage / Maintain org charts (as needed /requested)
  • Customer events - schedule / plan as needed (i.e. dinners, lunches, and/or sporting events)
  • Office Responsibilities
  • Space Planning (current occupancy view and future needs)
  • Set-up for new employees (space/equipment /phone)
  • Office supplies & equipment (including h/w and phones) - ordering and maintaining supplies

Experience Required:

  • 12-15 years of Executive-level Admin experience
  • Gracious team member, able to assume best intentions in the most unlikely circumstances
  • Exhibits exceptional command of the English language, both written and verbal communication
  • Consistently demonstrates solid understanding of priorities; maintain focus with sense of urgency, while upholding respect for others
  • Works independently with minimal guidance, as well as part of a collaborative team and assume additional responsibilities as required
  • Demonstrates professionalism, maintains a polished demeanor and a positive customer service attitude
  • Adapts well to changing plans and priorities; comfortable dealing with ambiguity
  • Positive attitude and willingness to help
  • Maintains strict confidentiality standards; absolute discretion and appropriate handling of highly sensitive information
  • Proficient in MS Office; quick and agile in learning new technologies and software
  • Proactive attitude with the ability to be adaptable in changing situations
  • Superb organizational skills with an attention to detail
  • Energetic attitude and willingness to go above and beyond to get things done
  • Partner with existing EA community
  • Tech experience preferred
